New Startup - Empty SQL Databases

Follow instructions below when you're ready to clear or clean up the sample data that comes with this product and start setting up your company and customers.

New Startup Instructions

  • 1st, by default this process will completely delete (remove) all warehouses except Warehouse 001 (the main host warehouse)
  • You can then make modifications to that warehouse with your company information and setup options.
  • Important:
  • You must understand that this process will DELETE all of the data within the database tables...
  • Each process is protected under System/Security/User groups and Users...
  • Also an extra password is required located under  System/Security/System Passwords...
  • You should take every pre-caution to protect these options...
  • ...
  • Make sure you know what the passwords are for:
  • Clear Orphan Records
  • Check Register Settings
  • Purge History
  • Chart-of-Accounts
  •    (see System/Security/System Passwords)
Step One
  1. Make sure all other users are not working in ProFrame 2015...
  2. Make sure you're not running any other programs within ProFrame 2015...
  3. You should be logged into Warehouse 001 as an Administrator...
  4. From main menu load Utility/Admin Utility/New Startup...
  5. After loading select the Delete button... (this should not take but a few seconds)
  6. Note: some inventory items will not get deleted (Shipping Items) and one Vendor the Transfer default vendor...
  7. Once you see the Save All option activated - Select Save All...
  8. The system will prompt for the Purge History password... enter that password
  9. then select YES...
  10. Close the New Startup Utility program...
Step Two
  1. Load Utility/Clear Orphan Records...
  2. After loading... select the Run button... (this process should not take very long)
  3. Once you see the Save All option activated - Select Save All...
  4. The system will prompt for the Clear Orphan Records password... enter that password
  5. then select YES...
  6. Close the Clear Orphan Records program...
Step Three
  1. Load System/LookUp Tables/Chart of Accounts (GL)...
  2. Select the Zero Periods button in the bottom left corner... (this will zero out all account values)
  3. Once you see the Save All option activated - Select Save All...
  4. The system will prompt for the Chart-of-Accounts password... enter that password
  5. then select YES...
  6. Close the Chart of Accounts program...
Step Four
  1. Load Payables/Check Register...
  2. Select the Counters Tab...
  3. Set your Register Counters as needed...
  4. Select the Setup button...
  5. The system will prompt for the Check Register Settings password... enter that password
  6. Then set those values as needed... (be sure to select Apply if you make any changes)
  7. .. Note: Make sure you set the Last GL Close Date to match your starting point... (also see Warehouse Setup below)
  8. Select the Save All option when done...
  9. then select YES...
  10. Close the Check Register program...
  • Important: make sure you protect these options and passwords...

Continue here in this order to setup your company and customers...

  • Note: It's very important to follow this in order because lookup options may not be available to other programs yet.
  • Note: Most all lookup options are still intact from the sample data, you will need to modify, add or delete to fit your needs.
  • ... Example: the Department, Service Codes, Routes and Technicians are still intact...
  • ... keep the codes - just change the names and descriptions
  • ...
  • Setup Warehouse... System/Warehouse Setup (be sure to match Last Close Date with GL Close Date from Step Four)
  • Setup User Groups and Users... System/Security/User Groups (Users)
  • Setup Terms... System/LookUp Tables/Terms
  • Setup GL Accounts... ** System/LookUp Tables/Chart of Accounts (GL)
  • Setup Vendors... **  File/Vendor File
  • Setup Locations... ** System/LookUp Tables/Departmental/Route/Location   Then Location
  • Setup Catalogs...  System/Catalog
  • Setup Widths and Matrix Options... System/LookUp Tables/Width and Matrix
  • Setup Inventory... File/Inventory File
  • Setup Departments... System/LookUp Tables/Departmental/Depart/Terr/Salesman   Then Department
  • Setup Chart Tables... System/Chart Tables (United Inches or Chop Matrix)
  • Setup Zip Codes... System/LookUp Tables/Zip Codes (you can also add zip codes during customer file maintenance)
  • ... Although zip codes can be added during Customer File, you could setup zip codes now. **
  • Setup Territories... **  System/LookUp Tables/Departmental/Depart/Terr/Salesman/Service   Then Territories
  • Setup Salesman... ** System/LookUp Tables/Departmental/Depart/Terr/Salesman/Service   Then Salesman
  • Setup Sales Tax Codes... ** System/LookUp Tables/Sales Tax Codes
  • Setup Discounts ** System/Discounts then (Class, Global or OnSale)
  • Setup Misc Lookup... System/LookUp Tables/Misc Lookup
  • Setup Custom System Headers... System/System Headers
  • Setup Customers and ShipTo Accounts... File/Customer File
  • ... You may need to reset the Sales Tax Codes
